Conditions of Reservation
Deposits & Balance
A non refundable deposit of $200 per person per tour is required within 72 hours of the confirmation of your booking. Once a deposit is received it will be understood that you have read and accepted these Conditions of Reservation, including matters outlined in the “Essential Thinking” at the bottom of this page. Failure to pay in full by the due date may result in the automatic cancellation of your booking. If you are booking 30 days prior to departure, full payment is required within 72 hours of confirmation of your booking. A 50% cancellation fee will then apply to all final payments.
Cancellation & Refunds
Cancellation must be received in writing and will be subject to the following cancellation fees applied per person, per tour arrangement: First deposit of $200 is non-refundable and final payments are 50% refundable (not applicable to airfare). Cancellation of air arrangements will be subject to fees charged in accordance with the type of airfare used and airline tariff regulations. Refunds will not be given for unused or cancelled services after your tour arrangements have commenced.

Airline tickets are provided electronically via email. Additional proof of purchase can be provided directly from our travel agency based in Calgary, Alberta, Canada.
Responsibilities
BeachLife Tours / BeachLife Holidays Inc. gives notice that they act as agents only for the persons or companies providing or offering the means of travel conveyance, transport, accommodation or other services and all receipts, tickets, vouchers, coupons are issued subject to the terms and conditions under which transportation and services are offered. Some of these providers or suppliers limit or exclude their liability and are often subject to international convention between countries.
One of the highlights of traveling with BeachLife will be your interaction with the people of the country that you are visiting and the members of your group. Such interaction should be based on respect for the culture, rights and opinions of others. BeachLife reserves the right to terminate the provision of services to passengers deemed by either our tour leader or management to be behaving in a manner which might cause serious offence, be in breach of the law, threaten the safety or significantly compromise the enjoyment of fellow travelers.
All possible care is taken to ensure suppliers maintain high standards. However, as we do not control the airlines, car operators or hotels we cannot be responsible in any way for problems resulting from the booking, howsoever arising, unless it is direct result of negligence on our part or the part of our employees.
BeachLife shall not be liable for any failure to perform its obligations where such failure is as a result of Acts of God (including fire, flood, earthquake, storm, hurricane or other natural disaster), war, invasion, act of foreign enemies, hostilities (whether war is declared or not), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalization, government sanction, blockage, embargo, labor dispute, strike, lockout or interruption or failure of electricity or telephone service], and no other Party will have a right to terminate this Agreement in such circumstances. BeachLife will do everything possible to ensure the departure of your selected tour date but must reserve its rights upon the occurrence of a Force Majeure Event.
Travel Insurance
Travel Insurance is a compulsory condition of traveling with BeachLife. Unfortunately things can go wrong on a holiday. You could fall ill or have an accident; you could have money or luggage stolen; your visit might be cancelled or cut short through injury or illness; your family may need to fly out to be with you if there is a serious incident.
Costs – particularly medical treatment costs – can easily run into thousands of dollars. Local medical facilities are unable to provide the full range of medical services available in developed countries making evacuation a requirement in many non life threatening medical emergencies. The costs of relocation as well as local international standard care are extremely high. In the most serious emergencies, you may not be positioned to authorize payment for an appropriate medical response that is urgently required. This may delay or prevent the provision of critical and possibly life saving medical attention. It is for this reason and in the interests of your health and safety, that we have been forced to make travel insurance a mandatory requirement.
Market surveys show that many people don’t take insurance when traveling. People believe that their credit card accident cover, home insurance, or private health cover is sufficient. However, it is unlikely that these will give adequate cover. If you do not already have a policy we urge you to take out insurance as soon as you make a booking with us to ensure you have adequate cancellation cover.

Be honest – tell your insurer about current or past medical conditions. When you travel:
Insurance information MUST be supplied to us at the time of booking or as soon as possible after. Final confirmation of a booking by us is subject to the provision of the Travel Insurance policy name and number. Bookings will remain ‘pending confirmation’ until this information is received. This information will be verified directly with the client on arrival when they are asked to complete our tour Registration Document. If a client fails to provide valid travel insurance information then, in the interests of the client and fellow travellers, we reserve the right to prevent the client from participating in the tour. In such instances, we will assist with onward travel arrangements. Cancellation penalties will apply.
Assumption of Risk
I hereby waive and discharge BeachLife Tours / BeachLife Holidays Inc. and any organization associated with BeachLife (including but not limited to hotels, inns, restaurants, travel agencies, and employees or associates thereof), from all liability as a result of my participation in a BeachLife tour. I understand that accidents, property damage, serious bodily injuries, and fatalities can occur during adventure traveling. Knowing that these risks exist, I agree to assume those risks and to release all the persons and entities mentioned above from liability for any property damage, injury, illness, or death occurring on any BeachLife tour or in the travel to and from them. Further more, I understand that if I chose to travel in the ocean, on highways, railways, roads, or streets not designated as part of the official tour, I do so at my own risk and release BeachLife Tours / BeachLife Holidays Inc. from liability for any damages, injuries, or death that might occur to me or anyone else.
Variables
In addition, I release BeachLife Tours / BeachLife Holidays Inc. from all damages and/or injuries as a result of weather or road conditions encountered before, during or after the tour.
Health and Safety
I affirm that I am physically fit and that I have no illnesses or conditions that put me at risk while on this tour. I also affirm that I have adequate medical insurance coverage for the duration of the tour.
Loss and Theft
I understand that BeachLife can not be held responsible for the loss, damage, or theft of any personal items brought on the tour.
Itinerary/Tour Changes
I understand that BeachLife can not be held responsible to refund airline fees or any other travel related expenses due to changes to itinerary or tour cancellation.

While traveling there is always the chance that things may not go as planned due to circumstances beyond the control of BeachLife. In such circumstances it’s very important that you stay patient, our guides will sort everything out in a fast and timely manner, besides, you’re on vacation, and it’s up to us to deal with all the stresses. When traveling in a small group it’s important to accept the realities of traveling in a foreign country. It’s also very important that all of our travelers carry with them an easy-going attitude, sense of humor, and an all-around positive attitude to ALL people in their surroundings.
